Quote Builder is the app I build for iwebforyou, my company. With it, iwebforyou sells websites to clients all over the world. The client builds a quote alone, pays, and then follows the project in an area of their own. In this article I explain what it does, what the client sees, and why it is worth having.

At a glance: Quote Builder

  • Quote Builder is an iwebforyou tool, which iwebforyou uses to sell websites to clients all over the world
  • The client builds a quote alone and sees the price the whole time while answering
  • They pay half the amount or all of it in the same app and then get a client area of their own
  • In the client area they see the project, its stages, the payments, the support hours and their requests
  • The websites that are delivered carry “Powered by iwebforyou”, and if the client does not want it, the price in the form goes up
  • When a quote needs a conversation, the visitor books a meeting with someone responsible

What is Quote Builder?

Quote Builder is one app with three parts. The first is the form where the client builds a quote for their website. The second is the client area, where they follow the project once they have paid. The third is the iwebforyou admin panel, where everything is set up.

iwebforyou sells websites to clients everywhere in the world, and Quote Builder covers the whole route. It starts with the first price and ends with a project that is paid for and running. It carries on with renewals and support after delivery. It all happens in one place.

How does a client build a quote?

The client answers a form in steps and sees the cost the whole time while answering. The form asks only what changes the price. Every choice shows how much it adds, and the total always stays in view. At the end the client pays either half of the amount or all of it.

Three things make the form friendly:

  1. The price is visible from the start. The client never fears a surprise at the end. They see what each choice costs at the moment they make it.
  2. They can stop and come back. The form saves itself. If the client leaves, they can ask for a link by email and carry on from another device.
  3. If a conversation is needed, they ask for one. When a quote needs a talk rather than an automatic price, the visitor books a meeting with someone responsible.

For the most common projects there are ready-made starting points, for example “Business website” or “Restaurant”. The client starts from one and changes whatever they like.

What does “Powered by iwebforyou” mean for the price?

The websites iwebforyou delivers carry “Powered by iwebforyou”. That is part of the price the client sees in the form. If the client does not want it to appear, they can ask for that, and then the price in the form goes up. Like every other option, it shows how much it adds.

What does the client see after paying?

After paying, the client enters their own area. There they see which stage the project is at and what is needed from them. They see what they have paid and what they still owe, how many support hours are left, and they can open a request or write to support. All in one place.

What the client wants to knowWhere they see it
Where is my project? In the project stages, with progress and what is needed from them
What have I paid and what do I owe?In payments, with the balance and the renewals with their dates
What have I approved? In approvals, each with its date, time and who gave it
How many support hours do I have left?In support hours, with the history for each request
Where are the invoices and quotes? In documents, with all versions
How do I ask for help?In the chat and in requests

The client area has roles too. The account owner can do everything, payments included. A member of their team can see the project, approve, write in the chat and open requests, but cannot pay.

How does support work?

Support has two levels. At the first, the client writes in the chat and an AI assistant answers first, reading only that client's own data. If a person is needed, it hands over to a person. The first level is not charged. The second is charged from the hours the client has bought.

At the second level the client first sees an estimate of hours. If it is large, they have to accept it before the work starts. When the work is done, the technician logs the time in 15-minute blocks and the client sees every deduction. There is no bill that shows up at the end without an explanation.

The hours work like a bank account. Every purchase is a deposit, every use a withdrawal, and the balance comes from the movements.

What about renewals?

After the first year a website has running costs, such as maintenance, hosting, the domain and Microsoft 365. The app keeps them in one place, with their dates. The client is notified 30 and 7 days before each charge, and if a payment fails, they get a link to complete it.

Why is it valuable for iwebforyou and for the client?

For iwebforyou, it gains time and order. The quote comes out without anyone having to write it by hand, the payment happens in the same app, and renewals, hours and requests are in one place. For the client, it gains certainty. They know how much they will pay and where their project stands.

Three principles guide the app:

  1. The cost and what is owed are never hidden.
  2. Every screen tells the client what is needed from them and what happens next.
  3. Money and time move only with the client's visible consent.

It works equally well on a phone and on a computer, because most clients use both.

How is the price worked out?

The price comes from a list of simple rules. Each rule says when it applies and how much it charges, for example “if the client wants an online shop, add this amount”. The calculation is done securely on the main server, and the client cannot tamper with it.

Every quote keeps a copy of the form and of the prices as they were that day. If the prices change tomorrow, the quote the client received today stays the same, and it is valid for 30 days.
